Duties &
Responsibilities

The Financial Associate (FA) will join a growing team supporting the Department of Biomedical Informatics (DBMI), a rapidly expanding organization with a unique research and education mission. Primary duties will involve overseeing all aspects of the Account Payable transactions including vendor setup, invoice payments, corporate card reconciliations, reimbursements and support Grants management team. This position affords an excellent opportunity to engage in and contribute to the administration of a world-leading research enterprise.

Reports to the Director of Finance. The successful candidate will provide financial service for DBMI using Harvard's financial systems. Serves as primary liaison to processes daily sponsored related financial transactions using Concur and HCOM. Serves as source of information on policies, restrictions, and accounting procedures. Interprets policy and procedures for compliance with University requirements and advises faculty, students, and staff on existing options or alternatives. Assists with year-end closing preparation: preparing journal vouchers and review year-end balances. Processes payments of all vendors invoices and works with them as necessary. Processes weekly P Card reconciliations. Prepares reimbursement and reconciles Corporate Card accounts for faculty and staff using the Concur program. Runs detail listings and other reports from CREW and OBI, and processes journals in General Ledger to correct errors and allocate costs. Oversees and monitors balances of DBMI gift funds and assist visiting faculty members’ financial needs. Provides accurate information about the GLACIER process and set up vendor when it is needed. Manages the yearly equipment inventory and archiving process throughout the year.

Performing special projects and other duties as assigned.

Basic Qualifications

Three years finance, accounting or administration experience required. 

Additional Qualifications

College degree preferred. 3 years of sponsored grant accounting experience preferred. Computer competency including Word and Excel, experience with Harvard's system including Crew, Conur, OBI, HCOM, and PeopleSoft. Ability to work independently with minimal supervision, detail oriented, with ability to work under the pressure of tight deadlines and high work volume. Must have excellent organizational and communication skills, and must be a demonstrated team player. Sponsored research experience helpful.
